  • 1.  Inquiry About Transferring Data Between Customer Feedback Form and Standard User Form

I have a customer feedback form that gathers information from users. I want to take the data submitted through this form, add it to a standard form, and then dispatch this form to a specific user. Is this possible? Can information be transferred from the customer feedback form to the standard user form?

    Hello Pardeep,

Great question! You should be able to accomplish this by using a Dispatch Data Destination, which would be used to dispatch the data collected on the customer feedback form and send it to a standard form.

There are two things you should keep in mind when configuring this workflow:

    • To simplify the administration of the workflow, I would recommend that the customer feedback form and the standard form have the same question labels, this will allow you to automatically pass all the information from one to the other without the need of manually mapping questions across the two forms
    • You will have to think about how to select which one of your field technicians will receive the dispatch; your end customers will most likely be unaware of who should receive the request/feedback, so they will be unable to select the person from a pre-determined list. My recommendation here would be to have these dispatches sent to a default person who can act as a dispatcher. This person will receive the dispatch, then decide who will be the field technician who will end up doing the work and they can at this point dispatch the standard form to that field technician

If you wish to discuss this further I would strongly recommend setting up some time with your account manager and customer success manager.

    Hi Pardeep,

Thanks for writing in about this - if you're on Enterprise or have the Customer Feedback Form (CFF) add-on, we love seeing an implementation where they connect in with Dispatch Destinations, to initiate workflows, or finish up a workflow - they can be super handy. Dave, as always, is right on the money here with his post... though I'll chime in to offer a few notes as you go about your testing..

    (1) 2-way connectivity between a CFF + mobile form

Since the person accessing the Customer Feedback Form (CFF) will need to have an internet connection anyway, it may be worth exploring whether a more direct approach will fit the bill. For example, if you connect that CFF to a regular Data Source, and it live updates (as Google Sheets and SharePoint do), you would be fine to have that second, app-based TrueContext form pull right from there. It would get you both sides of the data story, as a 2-way live connection, so you don't have to worry too much about mapping fields from the CFF to the mobile form, and it would be a simpler setup. More on 2-way connections with Google Sheets and SharePoint here in the TrueContext University - which is our free, self-paced learning platform.

    (2) Dispatch Destinations, like approval workflows

We highlight a setup similar to this one, in the TrueContext University - but using to app-based forms, as an approval workflow. It explores more on the dispatching aspect, but as you mention your setup starts with a CFF, may still be worth checking out to review on the mechanics.. and more use cases for CFFs are explored here.

    _

Keep in mind that not all question types are available on the pared-down CFFs, as are available for the app-based forms, in case that would have downstream considerations / consequences. That said, leveraging CFFs... this is an excellent example of the kind of thing customers come to us for, with a Professional Services consult. Since they're tasked with building out the most creative workflows, especially for complex, compliance-heavy enterprise environments, they can speak to specific builds like this, which are in play with other customers. As Dave mentions, emailing us at success@truecontext.com, we can coordinate a chat with Professional Services, in case you're curious on even more avenues to explore.
