Draft Forms – Saving your work for later retrieval

It's common practice for our users to save forms as drafts, allowing them to resume their work after breaks or interruptions. This article explores the importance of draft forms and how they can maximize efficiency in the field.

    What are Draft Forms?

Forms can be initiated in two ways:

    • Self-initiated: Started by the user from the Forms tab.

    • Dispatched: Sent to the user's Inbox tab.

Technicians may not always complete a form when they first open it. The Draft feature allows them to save their progress and return to it later.

    • Self-initiated drafts are accessed through the Drafts tab on the TrueContext app (Android, iOS, and Windows).

    • Dispatched drafts are saved and accessed within the Inbox tab, displaying a timestamp for easy identification.

    Draft Form Retention

Draft forms remain in their respective folders until they are submitted or manually deleted. They are stored locally on the device and are only available to the technician logged in on that device until they are submitted.

Important: Logging out of the application or manually deleting a draft form will permanently remove it from the device. Always submit or back up your drafts before logging out.

    Working with Drafts Across Devices

Drafts are stored locally and cannot be transferred between devices or users. Each draft is unique to the device and user that created it.

    Best Practices for Using Drafts

TrueContext Support frequently receives requests to retrieve data from lost drafts. It's crucial to remember that drafts are stored locally and are not accessible to Support.

To prevent data loss, we recommend the following:

    • Save frequently: Utilize the Save as Draft option, especially when working with long forms, in areas with weak connectivity, or when switching between multiple apps.

    • Do not rely on auto-save: While the app automatically saves data periodically, manually saving as a draft provides a more reliable way to retrieve your work.

    • Do not log out of the app: Any draft forms will be deleted when the technician logs out of the app, hence it is highly advisable to finish and submit any forms that are still in draft before logging out of the app.

By following these practices, you can ensure that your data is always safe and accessible.
