It might be the case that your organization follows a concrete data storage and processing policy to meet the data security aspects for your organization. This may require that form submission data collected by TrueContext is not stored or processed anywhere except in your organization's secure storage. To help organizations who need to follow a data security policy like this, TrueContext's Data Passthrough feature will allow your organization to securely store the data without TrueContext storing the submitted data in its cloud storage.

The Data Passthrough feature is enabled at a form level. Once you activate the Data Passthrough feature on a form, the TrueContext server securely stores the submitted form data in encrypted storage for a duration of 24 to 48 hours. Subsequently, the server automatically removes the data from its storage after this period elapses.

    The Customer Data Lifecycle

Customer Data encompasses form submissions, form resources, form definitions, and data sources. Our product documentation describes the processing, retention and deletion of these types of customer data: https://docs.truecontext.com/1374411/Content/Published/360042142952.html

    Important Considerations

There are some important factors you will want to consider when setting up the Data Passthrough feature.

    • Data Passthrough enabled forms should have at least two unique Data Destinations, which will serve the purpose of backing up data on your organization's end.
    • Since the data is removed after 24-48 hours from TrueContext's servers, Data Passthrough enabled forms cannot have "Form Submission Editing" enabled.
    • The Teamwork feature cannot be used for forms set up to use Data Passthrough.

Data Destination Setup and Best Practices.

When a form is submitted through the mobile app, it will be sent to any Data Destinations created for the form. If, for any reason, TrueContext is unable to submit the data to a destination, TrueContext will continue to try and submit to the failed destination over the next 24 hours.

If TrueContext is unable to submit to a Data Destination within 24 hours, then there is a risk of data loss. To protect your data from this risk, we suggest setting up at least one additional, unique, Data Destination as backup for your forms to submit to. This also highlights the importance of unique and reliable Data Destinations for Data Passthrough enabled forms to minimize the risk of a failed submission.

If you have forms set up using a Dispatch Destination, the dispatched form data will be stored on the server beyond the 24-48 hour limit for Data Passthrough enabled forms and it won't be deleted until the dispatched form is submitted. However, the initiator form submission, which triggered the Dispatch Destination, will still be subject to the 24-48 hour data retention limit.
